1. Who we are and what this covers
Golf Today Pty Ltd (ACN 701 235 716, ABN 75 701 235 716) runs Golf Today, a private indoor golf club at Holbrook House, Suite 6, 48–50 Sugar Road, Maroochydore QLD 4558. In this policy, "we" and "us" mean Golf Today Pty Ltd.
This policy covers personal information we collect through golftoday.au (including our Foundation invitation pages), by email, at the club and through our booking system. We handle it in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
Our Privacy Officer is Agnieszka Holbrook, General Manager. Contact: hello@golftoday.au, or write to us at the address above.
Membership is for people aged 18 and over. Our website is for adults, and we don't knowingly collect details of anyone under 18 through it.
2. What we collect
We collect only what we need to run the club and deal with you. Most of it comes from you directly.
| When | What we collect | Why |
|---|---|---|
| You join the waiting list | Name, email, mobile, the interests you tick | To keep you updated about membership and the club's opening |
| You request a Foundation place | Name, email, mobile, when you agreed to this policy, who invited you, your own invitation link | To consider your request, contact you about it, and let you invite others |
| We consider your request | Its status (requested, accepted, declined) and our private notes on it | To manage Foundation places |
| You send an enquiry, coaching enquiry or chat message | Name, email and/or mobile, your message, what you'd like to work on (coaching) | To reply to you and arrange coaching |
| You unsubscribe | That you unsubscribed, and when | So we don't email you again |
| You visit the club | CCTV video (no sound) in the entry and common areas | Security and safety |
| You book or pay | Your booking, membership and door-access details, held in Trackman (see section 4) | To run bookings, payments and entry |
| You use our website | Technical details our website host records automatically, such as your IP address, browser and the pages you visit | To keep the site running and secure |
We don't collect payment card details, ID documents or sensitive information (such as health information) through our website.
You can browse our website without telling us who you are. To request a place, join the waiting list or get a reply, we need your name and contact details.
If you share your invitation link, you choose who to send it to. We never contact the people you invite until they contact us.
3. How we use it
We use your details only for the reason you gave them to us, as set out in section 2, and for purposes you'd reasonably expect, such as:
- replying to your enquiry or message
- considering your Foundation request and, if you're offered a place, your membership
- sending waiting-list members a welcome from Josh Holbrook, our PGA Professional, and updates about membership and the club's opening
- arranging coaching if you ask about it
- running, securing and improving our website and the club.
We never sell your details or pass them to other businesses for their marketing.
We don't tell the person who invited you whether you requested a place.
People at Golf Today decide on membership requests. We don't use computer programs to make decisions about you.
4. Who we share it with, and where it's held
Inside Golf Today, your details are seen only by the people who need them. Enquiries go to our General Manager and to Josh Holbrook.
We use service providers to run our website, email and bookings. They handle your details on our behalf, only to provide that service to us.
| Provider | What they do | Where your details are held |
|---|---|---|
| Supabase | Stores our waiting list, Foundation requests and enquiries | Sydney, Australia |
| Vercel | Hosts our website | Sydney, Australia (technical logs may also be kept in the United States) |
| Resend | Sends our emails | Tokyo, Japan |
| Microsoft 365 | Our email inbox | Australia |
| Trackman | Bookings, payments and door access for members | United States or European Union. Trackman A/S (Denmark) also holds your Trackman account under its own privacy notice |
So, some of your details are likely to be held in Japan, the United States and the European Union. Trackman's own privacy notice is at trackman.com/legal/privacy-policy.
Golf Today shares Holbrook House with Offices Today, run by a related company (DG Property Rentals Pty Ltd). Our records sit in a system shared with Offices Today and managed by the same people. We use your details only for Golf Today, and don't pass them to Offices Today unless you ask us to (for example, if you tell us you'd like an office).
We may also disclose information where the law requires or allows it, for example to police or emergency services.
5. Emails, cookies, security and how long we keep it
Emails. Every marketing email we send has an unsubscribe link, and one-click unsubscribe works in most mail apps. We stop as soon as you unsubscribe, and always within 5 working days. You can also email hello@golftoday.au to be removed. We follow the Spam Act 2003 (Cth).
Cookies. We don't use analytics, advertising or tracking cookies on our website.
Security. We take reasonable steps to protect your details from misuse, loss and unauthorised access. Our records are in a locked-down database that only our team can reach after signing in. No online system is completely secure.
Data breaches. If a data breach is likely to cause you serious harm, we'll tell you, and the Office of the Australian Information Commissioner (OAIC) where the law requires.
How long we keep it.
- Waiting-list entries, Foundation requests that aren't accepted, and enquiries: 2 years from our last contact with you, then deleted.
- Members: for the membership and 7 years after it ends.
- CCTV footage: kept until our system records over it, unless we need it for an incident or the law requires us to keep it.
- If you unsubscribe, we keep only your email address marked "do not contact".
6. Your access, corrections and complaints
You can ask to see the details we hold about you, correct them, or have us delete them, by emailing hello@golftoday.au. We may need to confirm who you are first. We aim to reply within 30 days.
If you're unhappy with how we've handled your details, email us first and we'll try to fix it. If you're still not satisfied, you can complain to the OAIC: oaic.gov.au or 1300 363 992.
We may update this policy. The current version is always on our website, with the date it was last changed.
